Competitive Bidding:

Retain all documents for a period of five years from the last date of service

  • This includes:
  • Request For Proposal (RFP), with evidence of publication date
  • Bid evaluation matrix, criteria and weighting
  • Bid evaluation worksheets
  • All written correspondence with the service providers
  • All bids submitted, both winning and losing
  • Other documentation related to service provider selection

Bid Assessment Worksheet - This worksheet can be used to help assess any bid that you receive from Service Providers.

Remember that applicants must select the most cost-effective provider of the desired products or services eligible for support, with the price of the eligible products and services as the primary factor.

A very important component of your evaluation process is the list of evaluation factors. Although the price of the eligible products and services must be weighted most heavily, other factors can be considered in the evaluation. In other words, the lowest bid may not necessarily be the one you choose.
