NSSRS

At Administrator Days 2006, Commissioner Doug Christensen, NDE, announced that The Nebraska Student and Staff Record System (NSSRS) will run parallel during the 2006-2007 school year. "All public school districts will report both, under the traditional method and through the NSSRS. The traditional method will be considered the system of record for the 2006-07 school year."

Dr. Christensen's announcement and the public templates (files), which will soon be referenced, can be found at http://www.nde.state.ne.us/nssrs under the Instructions and Documents section. (See the Memo dated 7/31/2006 for his announcement letter.)

Six reports (templates) are due to NDE by February 13, 2007 (See the Data Submission Window document at http://www.nde.state.ne.us/nssrs).

  1. Student - must be done before Student Snapshot & School Enrollment
  2. Student Snapshot (2006-10-01)
  3. School Enrollment
  4. Staff - must be done before Staff Snapshot and Staff Assignment
  5. Staff Snapshot (2006-10-01)
  6. Staff Assignment

To assist your staff in the preparation of these reports, NSSRS work days will be held at ESU 10 on the following dates from 9:00 AM - 3:00 PM. Register at https://odie.esu10.org. Note times on registration.

  • Feb 2 - Open to schools with or without a student or staff info system
  • Feb 13 - Open to schools with or without a student of staff info system

NSSRS File Submission.

1.   The UniqIDs must be generated for new students and data on current students updated. The student UniqIDs generated last year must be imported back into your system and new IDs generated for new students. This can be done at any time. Contact your vendor for import/export instructions for Nebraska Reports. (Submitting the UniqID is like last year; there are only a few minor changes.) See http://nis.esu10.org/ggillmin/UniqID for assistance.

2.   A team of 2 or more people should be selected for your data team.

a.       Someone who is familiar with uploading and downloading files using the ftp process. MUST ATTEND the workday.

b.       Person(s) responsible for staff and/or student info (may be the same as 2a.) - MUST ATTEND workday.

c.       Person who will approve the final submission, i.e. an administrator who signs off, does NOT need to attend the workday but must be different than 2a or 2b.

3.       Each team member must have:

a.       His/her own login ID and password on the portal.

                                                           i.      Click Register to get an account at http://portal.nde.state.ne.us

b.       Appropriate Activation codes (available from your superintendent).

4.       Download the Staff and Student Template Instruction Manuals from NDE and familiarize yourself with the required data fields, which are located at http://www.nde.state.ne.us/nssrs.

5.       If creating your own template(s), i.e. those without student information systems, or for those who want to see the data fields and records (templates) to be collected, NDE has provided an Access database which can create the required templates to be submitted to NSSRS.

a.       Log into the secured website http://portal.nde.state.ne.us with your own login ID and password

b.       Click on Student and Staff Record System tab.

c.      Select NSSRS Secured Information Website.

d.       Select the Reference Manuals and print if desired.

e.       **Download the eScholar Data Source Templates - Notice color codes on NSSRS worksheet (turquoise, red, yellow, white).

f.         If you need a database to store & prepare staff info, download the NSSRS Desktop Database (1.3) -- Windows only (Mac users may use Virtual PC to run the Desktop Database).

g.       DO NOT SHARE THE FILES ON THIS WEB PAGE WITH ANYONE OUTSIDE YOUR SCHOOL.

6.       Enter the required data into the staff and student information systems. 

a.       The more accurate the data, the faster the validation process will take.

7.       Download and install the secure FTP software that is necessary for transmission of the data files. It is available at http://www.nde.state.ne.us/nssrs near the bottom of the page in the Software section.

8.     Submit the templates to the state.

9.    Work with your vendors - Most SIS vendors have worked with NDE through this process. Contact your SIS vendor to make sure you have the Nebraska State Reporting Module, which will be of great benefit to you as we go through this process. Your vendor can walk you through the process of updating information as well as importing/exporting the templates.

Most importantly, don't panic about this process.  Although required, the electronic submission of data is NOT your official documentation. As with any new process, there will be issues to work through.  We look forward to assisting you through this process.
