UniqID


As required by the Nebraska Department of Education, students in all Nebraska accredited and approved school districts/system must be assigned a unique student identifier (UniqID).  This will enable all districts/systems to prepare for implementation of NSSRS (Nebraska Staff & Student Reporting System).
 
The following list contains the required data needed for each student, which should be in an excel spreadsheet or a generated tab- or comma-delimited file from another source, i.e. student information state reporting module.
 
Student data needed to complete the UniqID Batch File:

  1. Current School Code
  2. Resident District Code
  3. Legal Last Name
  4. Legal First Name
  5. Legal Middle Initial (optional)
  6. Legal Name Suffix (optional)
  7. Gender
  8. Date of Birth
  9. Current Grade Level
  10. Local Student ID 
  11. Social Security Number (optional)
  12. Race/Ethnicity
  13. Current District of Record

Other helpful tools in preparation of data submission:

To submit the file to the NDE portal, you'll need a Login ID and password for the NDE Portal as well as the Activiation Code (available from your Superintendent). If you do not have a Login ID, you can register in the portal at http://portal.nde.state.ne.us or by going to the NDE home page http://www.nde.state.ne.us and clicking on the Portal link in the upper right hand corner. Click Register to request a Login.  Complete the information and click the Register Now hyperlink.

Instructions for Entering Individual Students

  1. Go to http://www.nde.state.ne.us.
  2. Click on the NDE Portal button (upper right corner).
  3. Enter your login and password if you have one (If not, click Register and fill out the form. Once completed, go back to the Portal home page and enter your login and password.)
  4. Click on the Student & Staff Record System link the red bar.
  5. If you see the word Apply next to Student Unique Identifier (Uniq-ID), click Apply and enter the Activation code, which you can get from your superintendent. Click Add, then click Return to previous screen hyperlink.
  6. Click on Student Unique Identifier (Uniq-ID) link. Note that the word Apply has now changed to the word Change. (Don't click on it though).
  7. Notice the options in the navigation bar at the left for entering individual students, studetn search, batch files, etc.
  8. Click on the Enter Individual Student button.
  9. Complete all the required fields (red *). Year is the end of the academic year, e.g. for 2006-2007, enter 2007.
  10. Click on Assign State ID button.
  11. Record the 10-digit assigned ID in the Status box on the next page or print the page for your records.
  12. Click on Enter Another Student button.
  13. Repeat Steps 8-11 until done.
  14. Click on State ID Home button (top right).
  15. Click on Exit.

NDE Recommendations

NDE has indicated the following important points to remember in preparing for this important data submission:
  • The student data will be submitted via the Internet in either a formatted text file or by entering individual student data online. Schools will submit 14 data elements for each student.  http://www.nde.state.ne.us/. Click on the NDE portal button and enter your Login ID and password. Then choose the new option in the red bar for Student and Staff Record System
  • A sample of the formatted text file along with instructions can be found on the project website at: http://www.nde.state.ne.us/nssrs/  
  • Data will be reported as of the last Friday in September.
  • Data will be submitted through the NDE Security Portal.  Most public schools already know how to do this; however, this may be new to non-public schools.   Non-public schools please see the letter at http://www.nde.state.ne.us/nssrs/   for more information and instructions.
  • The uniqID file must be submitted to NDE before submitting data files for reporting to NSSRS.
  • Data can be provided as an extract from your local student information system (SIS) or in a simple formatted text file. Your local SIS vendor can help in setting up and providing the data file. 
  • The NDE Help Desk (888-285-0556 or helpdesk@nde.ne.gov) and ESU staff will be available for support.
